By using our website, booking a call, sending us your details or using our services, you acknowledge that we will handle your personal information as described in this policy.

Website visitors and people who book a call

  • Information you enter into our contact form or booking page, such as your name, email address, phone number and the reason for your enquiry
  • Technical information collected through cookies and analytics, such as your IP address, browser type, device, pages visited and how you arrived at our site (see section 9)

Sensitive information Some information is classed as sensitive under the Privacy Act, for example health information, criminal record information, racial or ethnic origin, or membership of a trade union. We only collect sensitive information where you consent and it is reasonably necessary for our services (for example, a role that requires a police check or a medical clearance), or where the law requires or allows it.

You can deal with us anonymously or by using a pseudonym where that is practical, for example for a general enquiry. In most cases, though, we need your name and contact details to provide our services.

3. How we collect personal information

We collect personal information directly from you wherever possible, including when you:

  • contact us by phone, email or our website contact form
  • book a discovery call or meeting through Calendly
  • meet with us in person or by video call, including Google Meet
  • apply for a role, send us your resume or respond to a job advertisement (for example on Seek or LinkedIn)
  • engage us to provide services, or attend training we deliver.

We may also collect personal information from third parties, such as:

  • clients who give us information about their employees, or about roles they need filled
  • referees nominated by candidates
  • background check providers, with the candidate's consent
  • publicly available sources, such as LinkedIn profiles, business websites and job boards
  • business networking groups and referral partners.

If we receive personal information we did not ask for, we will decide whether we could have collected it lawfully. If not, we will destroy or de-identify it where it is lawful and reasonable to do so.

4. Why we collect, hold and use personal information

We collect, hold and use personal information to:

  • provide HR consulting, employee relations, industrial relations, award compliance, training and recruitment services
  • assess candidates for roles, and represent candidates to prospective employers
  • conduct reference checks and, with consent, background and work rights checks

  • improve our website and services
  • meet our legal, tax and regulatory obligations.

We will only use your personal information for the main purpose we collected it for, or for a related purpose you would reasonably expect, unless you consent or the law requires or allows it.

5. Who we disclose personal information to

We may disclose personal information to:

  • prospective employers (our clients): for candidates, we share your resume, our assessment and reference check results with clients when we put you forward for a role. We will talk to you before we put you forward
  • referees: to verify a candidate's background and suitability
  • background check providers: to complete checks a candidate has agreed to
  • service providers who support our business: such as email, video conferencing, scheduling, website hosting, customer relationship management, document storage, accounting and IT support providers
  • professional advisers: such as our accountant, lawyer or insurer
  • government agencies or regulators: where the law requires or allows it, for example the Australian Taxation Office, the Department of Home Affairs (work rights checks) or the Fair Work Ombudsman
  • anyone else you consent to.

We do not sell personal information.

6. Storage and security

We store personal information in electronic form, mainly in secure, password-protected cloud systems. Any paper records are kept securely.

We take reasonable steps to protect personal information from misuse, interference, loss, and from unauthorised access, change or disclosure. These steps include:

  • password protection and multi-factor authentication on our systems where available
  • only giving access to people who need it
  • using reputable service providers with recognised security practices
  • securely deleting or de-identifying personal information when we no longer need it, unless the law requires us to keep it.

No system is completely secure. If a data breach is likely to cause serious harm, we will act quickly to contain it and will notify affected individuals and the Office of the Australian Information Commissioner (OAIC) under the Notifiable Data Breaches scheme where it applies.

7. Overseas disclosure

Some of the cloud tools we use store or process information outside Australia. These include our email and productivity platforms (such as Google Workspace and Microsoft), our scheduling tool (Calendly), video conferencing (Google Meet), our website platform (Squarespace) and our customer relationship and marketing tools. These providers may store information in the United States and other countries where they or their sub-processors operate.

We take reasonable steps to ensure these providers handle personal information in a way that is consistent with the APPs, including by choosing reputable providers and relying on their contractual privacy and security commitments.

We do not usually disclose candidate information to overseas employers. If a role involves an employer outside Australia, we will tell you before we share your details.

8. Access and correction

You can ask for access to the personal information we hold about you, and ask us to correct it if it is inaccurate, out of date, incomplete, irrelevant or misleading.

To make a request, contact us using the details in section 12. We will need to confirm your identity. We will respond within a reasonable time, usually within 30 days. We do not charge for a request, but we may charge a reasonable fee to cover the cost of providing access in some cases, and we will tell you about any fee first.

In some cases the law allows us to refuse access, for example where giving access would unreasonably affect someone else's privacy, or where the information was given to us in confidence, such as a confidential reference. If we refuse access or correction, we will tell you why in writing and explain how to complain.

9. Cookies, analytics and our website

Our website is hosted on Squarespace. Squarespace uses cookies and similar technologies to make the site work, keep it secure and measure how it is used. We use Squarespace's built-in analytics to understand visits, pages viewed and how people find us. This information is generally collected in aggregate and is not used to identify you.

You can set your browser to refuse or delete cookies. Some parts of the site may not work properly if you do.

Our booking page uses Calendly. When you book a call, Calendly collects the details you enter and handles them under its own privacy policy as well as this one. Our website may also link to other sites, such as LinkedIn and Instagram. We are not responsible for the privacy practices of other sites.

10. Direct marketing

From time to time we may send you emails or messages about our services, insights, events or roles that may interest you. We do this in line with the Privacy Act and the Spam Act 2003 (Cth).

You can opt out at any time by clicking the unsubscribe link in our emails, replying to ask us to stop, or contacting us using the details in section 12. We will act on your request promptly and at no cost to you.

11. Complaints

If you have a concern about how we have handled your personal information, please contact us first using the details in section 12 and give us details of your concern. We will acknowledge your complaint promptly, look into it, and aim to give you a written response within 30 days.

If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner (OAIC):
